Job Description
Role:
To ensure that clients are provided with an effective service by the Department in accordance with the client’s needs and the policies and procedures of the Company. To manage all aspects of the administration for a wide range of onshore and offshore fund vehicles which include trusts, limited partnerships and companies.
Principal Responsibilities:
Oversight
- Managing relationships with outsourced providers
- Scheduling and attending periodic oversight visits with outsourced providers
- Maintaining an understanding of the outsourced providers legal/regulatory changes and additionally their goals and challenges
- Annual review of legal agreements between jurisdictions
- Collating monthly KPIs and attending monthly oversight meetings – escalating any issues to the department head of the UK
- Reviewing any documentation as required and acting as a subject matter expert for clients
New Business
- Acting as subject matter expert for UK P.E.
- Learning other types of alternatives fund administration operating models
- Providing RFP/RFI and questionnaire support
- Collaborating on pitch documentation and product materials
- Attending at sales pitches and finals presentation
- Attendance at industry conferences and events
- Developing and establishing suitable client service models
- Providing analysis of FTE and cost requirements
- Ensuring appropriate Due Diligence / Risk Reviews are undertaken during onboarding
- Working with other jurisdictions to ensure that global best practice methods are followed
- Attending calls and meetings with prospective clients
- Ensuring best of practice for initial document templates, SLDs, KPIs
- Advising on content of client administration agreements
Ongoing Client Relationship Management
- Maintaining responsibility for the clients service offering
- Attending client service calls / board meetings
- Acting as an initial point of escalation for client service issues, ASLs etc and escalating any concerns, as appropriate
Company Secretarial
- Understands Company Secretarial Procedures
- Can prepare and review Company Minutes to a high standard
- Can prepare and review Company Agenda and Board Packs
- Understands filing requirements and arranges necessary filings on a timely basis
- Understands registered office requirements
General
- Has an understanding of the anti-money laundering legislation, particularly with regard to Investor ‘KYC’.
- Authorise instructions as an “A” signatory of the Company
- Ensure the absence of staff is covered
- Keep the Department Manager informed of significant developments
- Fulfil additional, relevant, tasks appropriate to the role and business requirement
Knowledge:
Knowledge of the administration of Private Equity funds to include structures and the regulatory requirement (Not essential)
Experience:
Experience in administration, desirable in Funds/Private Equity (Not essential)

Strong IT skills
Professional Qualifications:
Relevant Professional Qualification or qualified by experience (not essential)
