Job Description

The role of the Business Manager will be to support the Chief Executive and Chair of the Board in the day to day running of the organization, maintaining its excellent relationship with key stakeholders from across the educational sector and the Welsh Government.

The Business Manager will be a fixed term appointment that will cover a period of maternity leave within the team.

This post will report to the Chief Executive of the Leadership Academy.

Key Tasks

Support the Chair of the Board and Chief Executive in the running of the Leadership Academy as a company limited by guarantee:

  • Manage all aspects of book-keeping including inputting invoices, scheduling BACS payments, processing receipts, reconciling transactions and providing information to the accountant to facilitate the production of management accounts
  • Liaise with HR mentors to ensure that HR policy and procedures are up to date and provide guidance to staff where required
  • Process annual leave requests and maintain logs for all staff
  • Order equipment & stationary
  • Arrange payroll payments (payroll processed by accountants) and send to Chief Executive for authorization
  • Send pay slips to staff
  • Process payments to HMRC and the Cabinet Office (Civil Service Pension Scheme)
  • Complete and send submission paperwork to the Cabinet Office in respect of staff pension contributions
  • Process and arrange payment of staff expenses after obtaining authorization from executive team

Support the Chair of the Board and Chief Executive in achieving corporate compliance:

  • Liaise with and provide information to internal auditors according to the annual audit plan
  • Liaise with and provide information to Audit Wales in respect of the financial external audit when required

Coordinate the work of the Board of Directors

  • Meet with the Chair of the Board, Committee Chairs and Chief Executive to set agendas for all Board and Committee meetings
  • Send all agenda, minutes and meeting papers to all relevant members ahead of Board and Committee meetings
  • Liaise with the company secretariat to ensure that meetings are recorded correctly
  • Complete administrative tasks that arise from Board and Committee meetings
  • Check and update the action log from Board and Committee meetings alerting team members of their responsibilities

Support the Chief Executive in budget planning and management

  • Attend budget meetings to update documents where required
  • Advise the executive team of financial position on a monthly basis
  • Calculate the virement of budget lines on request
  • Complete and submit claim reports to Welsh Government representatives at the end of each quarter

Create progress reports for the board and Chief Executive

  • Support the Chief executive in the creation of the quarterly progress report and submit to Welsh Government
  • Create financial progress reports and present to Finance and HR Committee
  • Support the executive team in the review of the risk register and make changes where required for presentation to the Audit and Risk Assurance committee

Provide operational support to the Assistant Directors & Chief Executive

Support internal organizational communication between team members and key stakeholders


Required Knowledge, Skills, and Abilities
Computer literate (specifically Microsoft Office and Xero Accounts). Excellent verbal and written communication skills. Positive and enthusiastic. Commitment to providing superior customer service. Excellent organizational skills. Willing to show initiative. Thorough and methodical approach to work. Able to work with minimal supervision. Experience of working in a Welsh Government Sponsored Body is desirable.
