Job Description

Working flexibly and responding to changing demands they must be cognisant of the internal and external factors affecting organisational performance and intuitively respond where needed to support the overall aims of the Federation.
The effective design and on-going development of systems and processes will be a key success factor as well as the ability to confidently negotiate with external service/system provides and hold them to account for service delivery.
Primary Duties and Responsibilities
Relationships
*Work effectively with the Executive team and Principals across the Federation ensuring that their requirements are understood and delivered against.
*Ensure that the interface with colleagues works seamlessly through a clear design of efficient processes and associated documentation that assigns responsibilities and expectations.
*Effectively manage the relationships with external service providers ensuring that contractual expectations are achieved and take action where they are not.
*Deliver presentations to key groups of staff communicating services, agreed standards and supporting colleagues that interface with the service provided to ensure that the end to end process works effectively.
*Liaise effectively with the HR Director ensuring that there is a clear understanding of expectations and communicate both successes and where support is needed on a timely basis.
*Work with all staff within leadership roles to ensure that they are supported in the application of people related activities e.g. sickness absence administration, recruitment etc.
People Management
*Lead a team effectively and engender a strong team culture where flexibility and the mutual aspiration of high standards in all activities is common amongst all team members.
*Take appropriate and supportive action where team performance is unacceptable.
*Communicate clear expectations to all team members and provide appropriate support to enable delivery against expectation.
Resource Management
*Ensure the effective delivery of an accurate monthly payroll.
*Negotiate high value contracts with recruitment and/or cover supply Agencies that deliver both value for money and excellent service across the Federation.
*Create and deliver an effective cover and absence Federation wide service.
*Take a leading role in the delivery of well-being across the Federation and the management of attendance measured through the sickness absence %.
*Ensure the accuracy of HR data within the HR system and the production of HR related management information to support the decision making within the Federation.
*Owns the format for the single central record for the Federation and communicates changes to it on a regular and timely basis.
*Monitoring changes to legislation and/or pensions rules which may impact the Federation and advising appropriate Executive team members.
*Ensure Pensions data accuracy is always of a high standard and that the Pensions Officer submits data on a timely and accurate basis removing the risk of fines or penalties.
*Manage the redeployment of staff at risk effectively across the Federation.
*Design and implement efficient processes and systems.
*Establish KPIs that measure the effectiveness of service delivery.
Decision Making
*Working within established guidelines providing advice and guidance to all colleagues to ensure that both organisational and legislation requirements are met.
*Having the awareness and intellect when handling situations that may indicate that the right approach is outside of standard protocols to raise the matter with the HR Director or Deputy HR Director where it is organisationally appropriate to do so.
*Design and implement processes which involve groups of staff with specialist knowledge and make recommendations where it is appropriate to do so.
Work Demands
*Work demands will range from planned day to day duties, meeting strict internal and external deadlines to responding to ad-hoc enquiries and situations as they arise.
