Job Description

Experience of working in a Higher Education environment is essential.

  • Typing and formatting correspondence, reports and papers using Microsoft Word
  • Providing administration support for the general office eg:
  • Raising requisitions, receipting goods and putting purchase orders onto the finance system (IPROC). To attend necessary training in relation to this
  • Meetings administration including monthly Senior Management Team meetings including producing and circulating agendas, minuting meetings and circulating to the wider team, and following up on meeting action points as needed;;
  • Covering reception duties on a roster basis;
  • Additional duties as deemed appropriate to the post.

General

  • Having an understanding of, and commitment to, promote the University's policies and procedures to support and promote Equality & Diversity;
  • Maintaining confidentiality of information in line with GDPR requirements and other relevant University policies;
  • Complying with Health and Safety requirements, including having an awareness of personal responsibilities to maintain a safe working environment;
  • Contributing to the University's agenda for social responsibility, including sustainability.

Required Knowledge, Skills, and Abilities
1. Substantial relevant work experience in a busy and complex administrative role, ideally within a higher education environment; 2. Excellent organisational skills - in particular the ability to prioritise a full and often complex workload which will include a number of competing demands; 3. A proven ability to understand and work through complex logistical processes such as making placement allocations; 4. Excellent attention to detail and a proven and consistently high level of accuracy in work undertaken 5. The ability to work accurately under pressure within short deadlines and with changing and competing priorities; 6. Experience of working on new initiatives and building processes to allow efficient roll out of new ways of working; 7. Substantial experience of maintaining and updating electronic databases, particularly Microsoft Access and Excel 8. A good working knowledge of Microsoft Office, (Excel, Access, PowerPoint and Teams) and the willingness to develop existing IT skills; 9. Knowledge of University IT systems such as Oracle Financials, or a willingness to learn;
