Job Description

Great opportunities to join a leading Manchester based University. The ideal candidate will have very good administration skills, project administration support experience and a working knowledge of Oracle/iProc/Egencia (desirable), project management tools and templates.
General Administration
· To work as part of a pro-active team to provide administrative support to the team in conjunction with other team members
· Book travel and/or accommodation via Egencia
· Arranging meetings
· Organise and manage inductions for new starters and other events run by the team, including stakeholder engagement events
· Support for a range of general activities e.g. teleconferencing and Skype meetings, hosting external visitors
· Prepare AV materials including the use of packages such as PowerPoint
· Supporting the creation and administration of the team websites
Project/Portfolio related support
· Support colleagues in the developing and maintaining effective reporting and monitoring processes in effectively managing projects with the Programme
· Organise project-related meetings such as Project Boards, workshops, stakeholder &
engagement events, including arranging catering, room bookings and set up
· Document key project and portfolio board minutes, obtain the relevant approvals and manage the distribution.
· Document and analyse project workshop outputs on behalf of the project manager
· Managing project risk, action, issue and decision logs ensuring they are up to date and actions are chased
· Provide administration services in relation to updating project artefacts and templates, including config. management and information governance.
Finance related support
· Raise purchase requisitions for goods and services using the University's procurement system (iProc), and ensuring that these are approved, processed and receipted
· Complete credit card payment forms and processing via finance staff
· Complete other forms including one-off payment forms
· Order of goods or services via iProc
· Investigate and resolve any ordering issues/chasing orders/returns
· Procurement of IT equipment, software, furniture etc.


Required Knowledge, Skills, and Abilities
· Experience of providing effective administrative support · Excellent communication skills (written and oral), demonstrating an ability to deal with a wide range of people · Excellent organisational skills, ability to prioritise a variety of work activities to meet deadlines · Ability to work independently on own initiative and as team member, demonstrating a helpful, flexible and collegial approach to delivering results · Ability to work with a high level of accuracy and attention to detail · Excellent IT skills including a proficient working knowledge of Microsoft Office, email, spreadsheets and databases, with the enthusiasm to develop existing skills through training · Experience of working cooperatively, flexibly and effectively, as part of a team, in a busy office
