Job Description
  • Responsible for the day to day tasks involved with running the Plant Depot
  • Managing all depot employees to ensure all daily tasks are achieved in a timely manner
  • Managing the quality control of the Plant Depot and all equipment within the Plant Depot
  • Controlling vehicle management
  • Managing cover for Holidays and Sickness when required
  • Encourage and develop a sales motivated hire desk team to order build and offer a first-class customer service
  • Serve as the central point to ensure daily operational requirements and service levels are met
  • Provide reports for Senior Management as required
  • Recommend and investigate work to facilitate the smooth running of the Plant Depot
  • Monitor and communicate relevant information to the Plant Depot
  • Achieve agreed objectives against the business plan
  • Perform in an effective and efficient manner
  • Form part of the cohesive Depot Management Team

Transport

  • Ensuring all drivers are compliant with DVSA requirements and regulations
  • Ensuring all vehicles are maintained and serviced to the necessary standard and where appropriate compliant with DVSA requirements and regulations
  • Communicating regularly with all drivers and providing assistance where required
  • Organizing the training of drivers relating to policies and procedures
  • Monitoring, investigate and document all driver performance activities
  • Monitoring employee’s progress and being their first point of contact should a problem arise?
  • Developing customer relationships, managing questions and complaints calmly and decisively
  • Organizing and overseeing all health and safety checks and routine vehicle checks and adhering to both company and statutory requirements.
  • Developing and the maintaining of any administrative records, regularly communicating with the other Management to ensure smooth operation.
  • Ensuring Legislation and procedures are fully compliant
  • Implementing schedule and policy changes
  • Collaborating with the other Depot Managers and staff members in order to formulate and implement policies, procedures, goals, and objectives

Hire Desk

  • Ensuring all customer requests, enquiries and queries are dealt with in an efficient, personable and professional manner
  • Providing accurate costing to the customer
  • Demonstrating strong communication skills to deal with customers and employees at all levels of the business
  • Processing Hire contracts and ensuring all documentation is accurate
  • Arranging delivery and collection of orders in accordance with the customer’s requirements
  • Input orders of incoming jobs into IT systems and generate job tickets
  • Suggest and implement process improvements
  • Providing marketing merchandise for clients
  • Liaising with the Warehouse & Transportation team to ensure timely delivery of equipment
  • To make decisions after thorough evaluation/investigation and in conjunction with other members of staff

Back Office

  • Receiving incoming calls and sales enquiries as required
  • Ensuring all customer requests, enquiries and queries are dealt with in an efficient, personable and professional manner
  • Providing accurate costing to the customer
  • Demonstrating strong communication skills to deal with customers and employees at all levels of the business
  • Processing Hire contracts and ensuring all documentation is accurate
  • Arranging delivery and collection of orders in accordance with the customer’s requirements
  • Ensuring that drivers are promptly dealt with or directed appropriately
  • Input orders of incoming jobs into IT systems and generate job tickets
  • Suggest and implement process improvements
  • Providing marketing merchandise for clients
  • Liaising with the Warehouse & Transportation team to ensure timely delivery of equipment
  • To make decisions after thorough evaluation/investigation and in conjunction with other members of staff
  • Conducting additional ad hoc duties as may be required

Performance

  • Encourage and develop a sales motivated hire desk teams to order build and offer a first-class customer service.
  • Provide reports to the Depot Manager as required.
  • Recommend and investigate work to facilitate the smooth running of the depot.
  • Monitor and communicate relevant information to the Depot Manager.
  • Achieve agreed objectives against the business plan.
  • Perform in an effective and efficient manner.
  • Form part of the cohesive Depot management team.

Health and Safety

  • Routine documents with daily and weekly checks.
  • Actions from checks are implemented
  • To ensure that all personnel, equipment and practices comply with Health and Safety requirements.
  • To liaise with safety representatives and the Health and Safety department to ensure that Health and Safety initiatives are implemented.

Working Environment

  • To maintain all areas to the highest standards of housekeeping at all times.
  • To monitor, report and progress all damage to the fabric of the plant and equipment
  • To ensure that the equipment is operable and maintained according to the Preventative Maintenance Schedule.

Personnel

  • To directly manage Plant Depot employees
  • To handle performance issues firmly but fairly in line with the current company disciplinary policy.
  • To pass on any grievances and disputes while avoiding emotional involvement.
  • To monitor attendance and to take appropriate action where necessary.
  • To encourage co-operation between team members and to create good team spirit

Compliance

  • To ensure compliance with the company Health and Safety policy

Training and Development of Team

To ensure that team members are correctly trained and developed so that they are able to undertake the duties expected of them and to ensure that the process is properly documented.

Ensure that all employees receive thorough and accurate training.

Additional Duties

  • To make decisions after thorough evaluation/investigation and in conjunction with other members of staff.
  • To communicate effectively across departments and all levels of the company.
  • To provide out of hours customer support.
  • To deliver team briefings and presentations as required.
  • To work on special projects as required.
  • To provide written reports on area of responsibility as required.
  • To conduct any other reasonable task as requested to help ensure that the business processes proceeds smoothly at all times.

Experience:

  • Plant Depot Manager: 1 year (Preferred)

Education:

  • GCSE or equivalent (Preferred)

License:

  • Driving (Preferred)

Required Knowledge, Skills, and Abilities
Strong leadership skills. Excellent interpersonal and organizational skills and the ability to react to changing demand in a professional manner. Ability to deliver an excellent customer experience both internal and external in line with the Phoenix Hire & Sales Company values in everything you do. Excellent communications skills, both verbal and written. Strong interpersonal skills and a collaborative style. Experience of working in a fast-paced operational structure is desirable.
