Job Description

A fantastic opportunity to join The Rack Group, supporting administration for Rack Armor customers. You will learn all aspects of general reception, finance and administration duties as part of the role.
Duties will include:

  • Carry out reception duties including greeting of visitors and the answering of the telephone, passing any messages on to the relevant person using agreed systems and procedures.
  • Operate the postal system for both incoming and outgoing post using agreed systems and procedures.
  • To produce labels as requested on the labelling machine using agreed systems and procedures.
  • To process Rack Armor customer orders and prepare Rack Armor quotations using agreed systems and procedures.
  • Update Rack Armor stock records and reconcile with warehouse stock book.
  • Organize the courier to collect and deliver packages using agreed systems and procedures for UK and EU sales.
  • Monitor stationery stock levels ensuring adequate supplies are stored to enable distribution in an effective and efficient manner.
  • To assist the Finance department by ensuring all shell receipts are reconciled with the invoices and all fuel purchases are recorded on the computerized spreadsheet.
  • Assist the Finance department by completing accommodation and delivery record and cost spreadsheets with purchase invoices to ensure that all costs are correct, reporting any discrepancies.
  • File data and perform other routine administrative tasks as assigned and for other departments as needed.
  • Carry out any other duties as within the scope, spirit and purpose of the job as requested by the Office Manager or Directors.

There may be a requirement as part of the role of the occasional lifting of objects – e.g. boxes and paper.
Working Hours and Wage:

  • 40 hours per week
  • £5 per hour
  • £200 per week
  • Monday to Friday – 8.30 am to 5.00 pm (with a 30 minute lunch break)

Required Knowledge, Skills, and Abilities
Ability to establish and maintain effective working relationships. Maintain consistent attendance and punctuality. Maintain confidentiality of work related information and materials. Eager to learn and develop new skills. GCSE English & Math – Grade 4 or above or equivalent. Good interpersonal and communication skills. Good organization and planning skills with attention to detail. Good I.T. and keyboard skills. The successful candidate will study a Business Administrator Level 3 Apprenticeship Standard. This will be aided by an assessor who will carry out all assessments as work-based learning within the workplace.
