The Role:

The HR Assistant/Administrator is responsible for supporting the day-to-day HR operational activities. The HRA will focus on HR Administration and being a key contact for all HR enquiries.


Responsibilities:

Induction & Release

  • Draft all offers of employment
  • Ensure all contractual, reference and payroll information is gathered in time for the new employee’s start date
  • Work with the Office/IT Managers to ensure all IT, access, desk and any other kit is ready for the new joiner’s
  • Facilitate a HR induction: ensuring the employee has an understanding of the probationary period and diarising the review point with the employee/manager
  • Conduct three month “check in” on completion of probationary period.
  • Facilitate the new starter’s orientations/introductions for the first week
  • Ensure the new starter has logins to all our tools: workamajig; the hub; SparkIVE etc.
  • Ensure IT are aware of when they need to suspend a leaving employee’s account and whether their inbox should be archived with access available for their Manager/or a dedicated team member
  • Provide the leaving employee with information of what happens when they leave from a payroll perspective
  • Conduct exit interviews and report any trends or relevant feedback to the HR Manager.

HRIS/Reward/Administration

  • Draft offer letters
  • Work with the Payroll Manager to prepare all payroll change. Examples include: new hires, changes in status, salary changes, bonus payments, leavers etc.
  • Facilitate completion of all new hire checklists: ensures all reference and immigration checks are completed; creates an online employee folder and maintains a record of all changes for each employees.
  • Become a proficient user of the HRIS (HR.Net) – ensuring this is kept up-to date with all employees’ change of conditions
  • Good understanding of agency benefits and policies. Primary contact for questions and interpretation of company’s benefit plans
  • Maintains a good working relationship with our Company Broker and benefit suppliers
  • Administration of pay review letters, change of conditions letters

Performance Management

  • Helps facilitate the quarterly review process, managing payroll and review meeting timeline

Talent Management

  • Support the HR Team with the internship placement scheme and development of each intern’s programme/orientation around the agency
  • Ensure all training is recorded
  • Help with the facilitation of internal and externally hosted training sessions

Employee Relations

  • Act as a Note-taker in employee dispute situations and recorded HR meetings.

Culture & Functional Team

  • Help with the roll-out key HR initiatives: employee surveys, training etc.
  • Actively stays abreast of trends and developments that impact HR responsibilities to employees. Continually expanding knowledge base to incorporate trends, legal developments etc.
  • Provides support to the wider HR functional team

  • A clear communicator, in person and writing
  • Highly organised and flexible
  • IT literate
  • Commercially aware
  • Good numerical / financial understanding
  • Approachable, outgoing and diplomatic
  • Must have excellent emotional intelligence
  • Must have confidence and gravitas to promote HR best practice
  • Comfortable working in a Team and building connections with the wider HR function globally
