Job Description

We are looking for a competent Office Assistant to provide a professional administrative service and assist in the smooth and efficient running of the company.

The ideal candidate will be a hard-working professional who is able to multi-task and work diligently under pressure with a high degree of attention to detail. Maintaining schedules and managing administrative support is essential in this role and this person should be resourceful, a good problem solver and organized team member.

Responsibilities

Reporting to the Office Manager, the Office Assistant will be expected to:

  • Organize and manage daily activities of office demands, prioritizing workload
  • Sort and distribute communications in a timely manner
  • Create and update records ensuring accuracy and validity of information
  • Schedule and plan meetings and appointments
  • Monitor level of supplies and handle shortages
  • Resolve office-related issues and respond to requests
  • Coordinate with other departments to ensure compliance with established policies
  • Ensure a good working relationship with suppliers, customers, and colleagues
  • Perform receptionist duties when required

Required Knowledge, Skills, and Abilities
5 GCSEs grade 9 to 4 in math, English, Business and IT and/or equivalent Business Diploma Level 2 or Higher. Working knowledge of office equipment. Thorough understanding of office management procedures. Excellent organizational and time management skills. Analytical abilities and aptitude in problem-solving. Excellent written and verbal communication skills. Proficiency with Microsoft programmes such as Excel. Detail-focused and comfortable working in a fast-paced office environment. Experience: office administration: 1 year (Preferred).
