As the Secretary / Administrator you will report to the Directors and work alongside other members of the team to assist with the smooth running of the office and day to day operation.
Duties to include:
Answering phones, taking messages and transferring calls
Meeting and greeting visitors and ensuring they comply with COVID -19 procedures
Typing up documents – audio and copy
Organization of company contact details on our database ‘HubSpot’
Using MS Word and MS Excel to format and amend documents
Diary management for Directors, scheduling meetings and organizing events
Producing invoices and dealing with purchase invoices
Collate information regarding time recording and billing
General administration duties

Required Knowledge, Skills, and Abilities
Proven experience as Secretary / Administrator. Proficient in MS Office, especially Excel, Word & Outlook. Able to use PowerPoint. A helpful, positive and friendly ‘can do’ attitude. Ability to audio type would be an advantage. Must have excellent typing skills. Very well organized and ability to manage own time. Confident and friendly telephone manner. Strong attention to detail, well organized and thorough and able to meet deadlines. Excellent interpersonal skills and ability to work as part of a small team.
