Job Description

To process all shops paperwork and ensure all financial figures are correct

· Identify and rectify any issues working with the Retail Area coordinator and Retail Area manager

· Ensure sufficient and adequate PPE in stock for all shops

· Promote the all Retail relevant schemes

· Monthly information to Retail staff and volunteers regarding performance

· Support the New Goods and Online Trading Coordinator

* The employee must maintain a safe working environment in accordance with Overgate Hospices Health and Safety policies

* The employee must participate in the development and implementation of Hospice policies

* The employee must be actively involved in Hospice Governance and support the audit cycle

* The employee must maintain strict confidentiality at all times and work within the guidelines of the Data Protection Act

DUTIES & RESPONSIBILITIES

1) Issue and be responsible for an effective, informative and motivational communication to all shops on a monthly basis detailing the performance of each shop including Gift Aid income.

2) Process all shops paperwork and ensure all financial figures are correct

3) Responsible for all Retail social media and to organize stock appeals where needed.

4) Working with the Business Partnership Manager identify and set up Donate Days within local businesses.

5) Complete quarterly recycling figures and council submissions

6) Ensure stationary orders are complete by the Shop Managers and expenditure kept to a minimum. Ensure adequate stationary is available at all times i.e. till and Zebra rolls. Work with the Head of Retail to set up a central buying system

7) Complete regular stock takes of stationary in all the shops.

8) Annually complete Pat testing calibration. Complete regular audit for PAT testing compliance.

9) Obtain and submit monthly meter readings to ensure utility costs are kept low.

10) As necessary take minutes of the mangers meeting and distribute in a timely manner.

11) Manage retail office admin volunteers

12) Organize donation pick-ups,

13) Work with marketing to ensure all shops have the correct marketing materials

14) All other duties as requested by line manager.

Team Working and Leadership

* Contribute to the continued development of the hospice’s retail strategy in a creative and imaginative way.

* To develop a strong retail team spirit.

* Creates and continually develops effective relationships with staff and volunteers at all levels and in all areas.

* Makes appropriate use of volunteer help, involving volunteers in all aspects of fundraising, liaising with the Volunteer Services Coordinator on recruitment, selection, training and supervision of volunteers.

Finance

* Work with the Head of Retail and Area Manager to keep track of monthly income

* Ensure a close working relationship with the finance team to identify any improvements that can be made in presentation of financial information to shop managers and/or content of information that that can shared.

General

* Build key relationships with other hospices and charities both within the area and nationally where appropriate in order to remain competitive in the work place.

* To be conversant with the Hospice donor database in order to ensure all information is captured and utilized to enable income to increase.

* Promote volunteering opportunities where and when appropriate.

Marketing

* Ensure Marketing guidelines are adhered to within the hospice and carry out annual audit

Audit and Research

* To assist Area Manager in developing standards within all Overgate Hospice shops.

* Work within all legal framework including but not exclusively; Institute of Fundraising, Charity Commission, and Charity Retail Association.

Other Responsibilities

Maintain strict confidentiality in all matters relating to the Hospice, its business, patients, staff and others

Any other activity as requested by line manager.

* Be willing to undertake further education and training as part of professional development to meet the demands of the role. * Attend all mandatory training deemed appropriate by the hospice. · Study to GCSE Level. · Minimum 1 year’s retail experience · Minimum 2 years admin experience Experience: administrative: 2 years (Required). Retail: 1 year (Required). Education: GCSE or equivalent (Required).
