Job Description

The responsibilities of the Executive Assistant will be; undertaking background research and develop internal and external presentations and reports presenting and summarizing findings to CEO and CFO as required, Independently undertake some project activity for CEO/CFO, Oversee PA and Admin standards within the business including ownership and management of travel and expenses policy to support internal audit. Create, implement and manage internal standards for PA administration procedures across the business which are capable of withstanding robust internal audit processes. Building internal relationships.

Provide a high standard of administrative support including:

  • Dealing with e-mails, letters and other correspondence, often corresponding on behalf of CEO & CFO on straightforward issues.
  • Minute taking and report writing
  • Expenses management for CEO & CFO
  • Follow up on meeting actions
  • Manage invoices and purchase orders for designated area
  • Diary and travel management for CEO & CFO including visa and accommodation management ensuring appropriate prioritization of time and commitments
  • Be first point of contact for internal and external stakeholders wanting access to CEO & CFO
  • Screening phone calls, enquiries and requests, and handling them when appropriate
  • Meeting and greeting visitors
  • Organizing events and meetings internally and externally
  • Provide general assistance during meetings
  • Independently produce written internal communications on behalf of CEO & CFO

Required Knowledge, Skills, and Abilities
Have experience as a PA or Executive Assistant in a global business/FMCG business. Flexibility to work between the Leeds and other northern office. Car driver/owner with a valid license. Ability to adapt and constantly change working styles to match bespoke ways of working. Open to working some weekends / late evening maybe required due to the business operating in different international time zones. Assertive, driven, and exceptionally well organized with the ability to multitask when faced with ever changing and conflicting priorities. Discreet and professional always. Ability to build effective working relationships with internal and external stakeholders at all levels. Ability to produce written material quickly, accurately and to a high standard. Analytical ability - able to interpret written and numerical data. Excellent IT skills - Microsoft Office applications. Ability to persuade and influence. Excellent verbal communication skills.
