Job Description

Provide administrative support to the Training Team and use MIS for submission of data to the ESFA.

Authority and Responsibilities:

Team Administration:

· Understanding, interpreting and implementing rules and regulations relating to the provision of funded training delivery

· Liaison with relevant staff members to ensure understanding of and compliance with the same

· Maintain and update central records for all learners complying with internal and external quality assurance systems

  • Ensure the correct registration and certification procedures are adhered to.
  • Processing and administration of funded paperwork including cross-checking for invoicing purposes.
  • Accurately enter, manage and maintain learner data on our MIS system (MAYTAS)
  • To extract and analyze data and prepare for management reports.
  • Check, process and input paperwork relating to new and existing learners, registering learners and claiming qualifications from the relevant awarding body.
  • Deal with enquiries, responding as appropriate
  • Assist with marketing and selling the range of funded and commercial courses provided by HTTL
  • Respond to or re-route enquiries from clients or prospects for funded or commercial work.
  • To attend meetings and record and distribute minutes of those meetings.
  • To assist in the development of course information for clients, prospects and staff.
  • Provide administrative support to the Training team as directed by the Training Manager
  • Booking rooms for funded courses
  • To carry out invigilation of exams in Textile House and at companies when required.

Front of House:

  • To provide front of house back up cover for lunch times, holiday and sickness when the recognized company receptionist is unavailable.
  • Liaise with the appropriate department manager and other cover receptionists to ensure cover is in place and restrictions on holiday entitlement are maintained.

Required Knowledge, Skills, and Abilities
Contribute to the Organization’s audit requirements for awarding bodies, ESFA and Ofsted. To assist with the preparation of the Self-Assessment Report. Undertake quality audits. Maintain CPD record. Experience: Maytas : 1 year (Preferred)
