Job Description

1. To provide a professional and confidential marketing and administrative support service for the School's External Engagement and Business Development team, and associated activities and initiatives.
2. To support the development and production of effective marketing and promotional materials as required, this may include liaising with suppliers, checking order details and assessing draft work against specified guidelines.
3. To assist with the maintenance and updating of School web pages, course information and other media (e.g. Twitter, Facebook, LinkedIn, etc.) as required, ensuring the timeliness, accuracy and appropriateness of content, in collaboration with other colleagues.
4. To contribute to a variety of proof reading and copy writing tasks e.g. production of case studies, news stories, marketing emails, etc.
5. To assist with the population and maintenance of alumni databases and CRM systems.
6. To assist with the timely distribution of School publicity and engagement materials, such as mailings, brochures, newsletters, etc., to locations in the UK and overseas.
7. To provide a front-line initial response and information service to those contacting the School (e.g. prospective students, applicants, businesses, alumni, etc.), dealing effectively with all enquiries and information requests through multiple contact methods (e.g. telephone, email, web, social media) and other formats as appropriate. It is expected that enquiries will be dealt with promptly, logged where appropriate, and that the individual will be kept adequately informed of progress where immediate resolution is not possible.
8. To have sufficient understanding of the School and its work to be able to answer queries intelligently without reference to others.
9. To monitor and respond to emails from designated email accounts, collating FAQs that can be used for updating School resources, and referring complex matters to other members of staff/teams as appropriate.
10. To work closely with colleagues across the School and University, to provide an effective and efficient undergraduate, postgraduate and short-course admissions and enquiry function for the School. This includes acting as a central point for any queries or issues arising in relation to marketing, publicity and recruitment (including confirmation and clearing activities), and processing applications in accordance with School and University procedures.
11. To assist with the planning, organization and delivery of internal and external events, workshops and other initiatives as required. This may include attendance at the event and the
provision of support for follow-up activities, such as the distribution of emails/letters of gratitude and the evaluation of the activities success.
12. To ensure the implementation of the University's policies and regulations within the remit of the role.
13. To share responsibility for the servicing of meetings and focus groups as required, including the collation of data and information for reports.
14. To assist in the delivery of projects at a level commensurate with the responsibility of the post.
15. Contribute to the efficient and effective operation of the School through:
 

  • A professional, collegiate and customer-orientated approach to service delivery;
  • Positive participation at relevant meetings and working groups;
  • Continuous monitoring of the service provided at an operational level and making recommendations for improvement as appropriate;
  • Collaboration and liaison with external contacts, students, and colleagues throughout the school and university, acting as a point of contact where appropriate; and,
  • The maintenance of an appropriate working knowledge of other areas of the team in order to provide cover and continuity of service as required.

16. To maintain currency of knowledge and skills through active participation in relevant School and University-level activities.
17. To undertake any other duty pertinent to the grade of the post that might be requested at any time.


Required Knowledge, Skills, and Abilities
The successful candidate MUST have GCSE Mathematics and English language both at grade C or above as well as ECDL or equivalent level of experience.
