Job Description

My client a well-known and respected organization in central Leeds are looking for an experienced receptionist to come on board and join their friendly and professional team. This is a part time role to cover Mon-Weds 9.00am – 5.30pm, 22.5 hours a week.

Your duties will include

  • To ensure the smooth operation of reception and provide support where needed to the administration team.
  • Be friendly and approachable to all visitors entering the reception area and deliver excellent service to visitors
  • Answer incoming calls via a switchboard and forward to appropriate person/department in a timely manner. Keep a call log and take messages when necessary.
  • Greet and welcome visitors upon their arrival and inform the appropriate person of their visitor’s arrival.
  • Keep an up-to-date list of colleagues movements in and out of the office
  • Ensure the reception area and meeting rooms are kept neat and presentable, with all necessary stationery and material e.g. pens, brochures and marketing material.
  • Provide refreshments as required for meetings.
  • Deal with incoming post and deliveries distributing to relevant departments.
  • Deal with outgoing post, keeping a log and using a franking machine.
  • Update Outlook calendar for meeting room bookings.
  • Assist with the distribution of stationery and resources and ensuring that appropriate stock levels are maintained liaising with the Admin team
  • Ordering and returning boxes to our off-site storage company.
  • Execute duties such as photocopying, scanning and occasionally faxing.
  • Provide support to the Administrative team where necessary, this role will develop over time
  • To provide cover for reception when Thursday/Friday receptionist is on holiday, advance warning would be given for this.
  • The successful candidate must ensure confidentiality is maintained at all times and the Data Protection Regulations are adhered to.

Salary 21.7k pro rata to the hours worked

Required Knowledge, Skills, and Abilities
The ideal person will have proven work experience, as a Receptionist or similar role, possess Good IT skills and have experience with Microsoft Office. You will also have excellent communication skills verbal and written and a calm, friendly and confident manner when working on your own or as part of a team. Experience: RECEPTION: 1 year (Preferred)
