Job Description

This role will see the successful person coordinating the distribution of our Covid-19 test kits to staff and other key personnel. You will be ensuring we have the right numbers of test kits delivered weekly and logging that these have been issued appropriately to the right staff. You will be filing paperwork and liaising with suppliers and front line staff, to ensure that we meet our requirements to get staff tested regularly.

There will also be a few other duties that you will support our team in Bradford with, such as

  • Completing all administrative functions, i.e. general minute-taking, arranging meetings, filing, photocopying, completing staff returns / scanning documents, reports, letters etc.
  • Timesheet inputting, inputting MAT/PAT/sickness leave etc, ensuring staff are paid correctly and dealing with any wage queries
  • Ensuring the Payroll system for the Bradford Area is kept up to date
  • Liaising with Managers and other departments within the business when necessary.
  • Completing PCF forms weekly
  • Create ID badges for all new staff
  • Deal with both incoming and outgoing mail promptly and ensure relevant information is distributed as and when necessary.
  • To act as first point of contact between United Response and outside bodies calling both in person or by telephone; provide refreshments as appropriate.
  • To liaise with Management Team to gather information in order to agree, prepare and publish the On-call rota.
  • To maintain stationery supplies and other consumables and equipment as required
  • To update and maintain systems, both computer and paper based.

Required Knowledge, Skills, and Abilities
The most important thing for us is that you have the ability use your initiative and have exceptional communication, language and customer service skills, as well as being able to pick up new systems quickly. As a key member of the area you should be able to organize and priorities your workload to ensure that all general administrative tasks are completed within an efficient and timely manner. Previous experience of working in an administrative role would be beneficial as it will help you to adapt to the busy environment you will be operating in. A willingness to learn is also key as it will enable you to understand the processes and needs of the organization and the people who work within it.
