Book business and personal travel arrangements, including flights, transportation, and lodgings for senior management and MBP employees, when requested.
Maintain office correspondence, including sorting and sending mail, receiving deliveries of parcels crafting routine electronic correspondence.
Perform reception duties such as answering the office phone, where necessary.
Manage the diary and schedules of Chief Sales Officer and Chairman.
Liaise with clients and business guests.
Maintain electronic filing system, ensuring processes and software are up to date and in working order.
Manage projects and proactively follow-up with team members where required.
Liaise with other employees on behalf of senior management, including booking meetings.
Manage expenses and credit card consolidation for senior management.
Prepare and deliver reports.
MBP Business Meetings / Management of sales force: agenda, hotel arrangements, presentations management, taking minutes and follow up, technical support for online meetings.
Set up company internal meetings.
Organize appraisals for the sales team, employees referring to Chief Sales Officer.
Assist the Chief Sales Officer in completing the annual sales budget.
Organizational improvement tasks.
Manage and update internal databases.
Manage ad hoc sales projects or market research, which are to be handled as independently as possible.
Coordination of events such as Christmas parties, company anniversaries, employee birthdays and anniversaries, ordering refreshments, stationery, IT/electronic and office equipment.

Required Knowledge, Skills, and Abilities
As a minimum, Bachelor’s Degree (Administrative Support, Business or related fields) or equivalent Proven work experience as an Executive Assistant, Executive Administrative Assistant or similar role. Managing several executives comes with its challenges - you must thrive under pressure and have worked in a similar role previously. Experience in dealing with varying degrees of tasks from answering the phone and booking travel to booking personal appointments for senior leadership. Experience of building relationships across all levels and areas of business, along with a pragmatic approach to problem-solving. English (both written verbal) language skills, at business level. Experience working in an international business/ company. Change or project management experience. Continuous improvement / Lean / Six Sigma. High attention to detail and accuracy. Strong communication skills, with the ability to communicate effectively at all levels. Resilient with the ability to work well under pressure and to deadlines.
