Job Description

The is role will primarily be for typing of back log of reports but will also include some general admin duties, answering phone, appointing of clients, support for Paediatricians
The purpose of this role is to provide a full administration service to the Developmental Paediatricians as part of Children and Family Health. The post holder will be one member of an existing team of Administrators and Administration Assistants who look after the administrative tasks associated with the Paediatricians within Children and Family Health Surrey.

Suitable for someone who:
Is able to understand information quickly and identify relevant course of action and who has good interpersonal skills and is confident in operating a wide range of office equipment such as scanners, computers, faxes and copiers. Suitable for someone who is comfortable working in a fast paced and time pressured environment.
Principal Duties:

This list is intended to summarise the key responsibilities and is not intended to cover every task that may be required of the role: -

* Providing support to the Lead Administrator and Senior Administration Manager for reporting of figures for service KPIs (Key Performance Indicators).
* Creation and management of any necessary spreadsheets.
* Site specific responsibilities which may include (but not be limited to) administration for Adoption, Looked After Children, Initial Health Assessments, Safeguarding and Educational Health Care Plans including liaising with key staff at Surrey County Council.
* Communicating with parents of patients and other organisations involved in the care of patients.
* Audio/copy typing reports and letters dictated by the Doctors.
* Formatting letters and reports created by the Doctors.
* Answering phone calls and dealing with queries.
* Monitoring and actioning the generic team admin inbox
* Booking and rescheduling of appointments for Paediatricians across Surrey.
* Other general administrative duties associated with the role.

* To support, liaise and work effectively with the Developmental Paediatricians.

* To liaise with the wider team and external agencies as applicable.

* To ensure good record keeping in line with current practice and computer systems.

* To demonstrate effective time management skills to manage workload independently and as part of the Team to ensure duties are performed efficiently and service standards are met.

* To effectively and sensitively communicate with parents of patients and other organisations involved in the care of the patients.

* To participate in other administrative tasks to support the service provided by the Records team including photocopying, scanning, uploading and mail management.

* To demonstrate good audio/copy typing skills for reports and letters dictated by the Doctors.

* To ensure timely booking of clinic appointments for Developmental Paediatricians across Surrey

* To create and maintain any necessary spreadsheets and to provide support to the Administration Manager for reporting of figures for service KPIs.

* Effectively manage the recording and sending out of prescriptions

* To engage in any other general administrative duties associated with the role.

* Responsible for maintaining confidentiality and security of all health and corporate records in accordance with the Trust policies.
