Job Description

As a Controlled Drugs Accountable Officer Administrator, the post holder will provide specialist secretarial/administration support and advice to the Controlled Drugs/Pharmacy team to support a number of initiatives and deliver an effective service within the Midlands.
Key aspects of the role will include:

  • Managing the electronic diary for the department, including arranging and changing appointments, prioritizing these as appropriate.
  • Acting as the first point of contact for the team, dealing and responding effectively with complex queries from stakeholders and passing on relevant information to appropriate team members sensitively and autonomously in a timely fashion
  • Inputting, monitoring and checking data produced and required for on-going programmes and projects for example Controlled Drug destructions and Controlled Drug incidents
  • Being responsible for the dissemination of self-assessments to GP practices, Dental practices and individuals holding a private CD code, following up on issues identified during the process requiring further investigation.
  • Supplying the relevant information required for financial management, checking and sending invoices for payment.
  • Helping to organize, attend and minute the local intelligence network meetings to ensure all sectors / stakeholders are represented and kept informed of changes in legislation, persons of interest and controlled drug management issues.
  • Running and collating reports which may include reports to the Board and senior management as required.
  • Developing and maintaining effective filing systems, to ensure that information is kept securely and is accessible to other members of the team
  • Preparing agendas, taking minutes and distributing notes of meetings including typing up of group discussions and interviews as necessary.
  • Providing guidance and advice on relevant policies and procedures.
  • Participating in Research and Development activities as directed.

There is a full-time and a part time (0.5wte) position available.
