Job Description

We are a rapidly expanding executive coaching & consulting company with offices in London, Paris, Singapore, Hong Kong and New York, working with an international client base.

We are a fast-paced business so the ability to think on your feet is key. There will be a degree of independence expected within the role so you will need to take the initiative and often work alone. You will need to be able to hold focus and attention to detail whilst working within a dynamic multi-tasking environment. You will also need to be able to manage your time to prioritise your own workload and ask for help proactively.

As you will be working with senior coaches and senior client executives across international markets, good interpersonal skills are very important. The predominant work of this role will be within the Finance Team, so bookkeeping or administrative experience, ideally a minimum of two years, along with good skills in Xero, XLS, QuickBooks and PPT would be a huge bonus.

The successful candidate will report to the Finance Manager and work alongside the Operations Manager.

Key tasks and responsibilities

Supporting the Finance Manager:

· Build strong relationships with relevant counterparts in client organisations

· Work with new clients to onboard them, set up contracts and invoicing terms

· Work with existing clients to set up purchase orders and agree project terms

· Receipts & expenses

· Credit control

· Quotes and Invoices – working with coaches and the Finance Manager

· Prepare monthly coach & supplier payments

· Train coaches in some of the financial software to make them more autonomous in quoting and invoice preparation

Supporting the Operations Manager:

· Follow and implement processes to ensure smooth running of the office

· Order stock and supplies for office

· Manage and book meeting rooms

· Greet clients upon arrival in London office and ensure the rooms are set up for meetings

· Logistics support around Aesara events and coach offsite work

Coach Support & Programme Management:

· Allocated a coach for diary management and travel support

· Project-manage leadership programmes

Scheduling of programme & logistics

Setting up iLEAD tech platform for the programme

Participant liaison on preparation and homework

Client liaison for account management with lead coach

About You:

· Ability to use initiative, work alone and be proactive to identify when things need doing / addressing

· High attention to detail with numbers and written work

· Ability to travel to some offsite (once or twice a year)

· Excellent written and verbal communication skills

· Highly competent in use Microsoft Office & XERO preferable

· Strong time management skills and the ability to manage expectations of others

· Personal drive to grow with the business and continue learning

· Qualifications not essential, experience and ability to learn and adapt is more important

· Must have a NI number, and currently be based in the UK and have the right to work in the UK (we do not offer visas)
