Job Description

Accountabilities

Ownership

  • Managing excel spreadsheets/databases for record keeping and maintaining them on a daily basis.
  • Managing filing systems for storing operational data for individuals.
  • Assist in communication by producing the relevant paper work for Weekly/monthly communications.
  • Maintaining records of monthly spend in various categories e.g. operational, continuous improvement and spares expenditure.

Build Reputation with Customers

  • Taking meeting minutes and correspondence to stakeholders.
  • Help manage phone calls and correspondence (email, telephone, Skype for Business).
  • Internal and external stakeholder engagement

Drive to Win

  • Coordinating office activities to secure efficiency and compliance to company policies.
  • Competent in prioritizing and working with little supervision.
  • Track TopDesk / Maximo escalated incidents.

Team Play

  • Supervise administrative tasks and divide responsibilities to ensure efficiency and performance.
  • Attend CCB meeting, LAS meeting for minutes.
  • Assist SM with staff resourcing.
  • Assist colleague whenever necessary.

Everyday Better

  • Create and update records and databases for the office.
  • Management of office supplies

Safe Base & We Care

  • Assisting with Health and Safety education of staff.
  • Maintain HSE trackers.

Required Knowledge, Skills, and Abilities
Proven experience in office administration. Outstanding communication and interpersonal skills. Excellent organizational skill and leadership skills. Excellent knowledge of MS office. Familiarity with office management procedures. Willingness to learn new skills. Working within a team environment.
