Job Description

An Administrator is required to provide administrative support to the management of pupil related casework and other aspects of the work of the SEND Services Team. You will act as first touch contact for officers in the SEND Service for general enquiries Duties to include:

  • Undertake tasks associated with the EHC assessment, EHC Planning and EHC Annual Review processes, as required in team guidance or as determined by the Senior Caseworker, SEND Manager or Group Manager, including
  • To notify schools or annual review dates according to the requirements of paragraph 172 of the SEND Code of Practice 2015
  • Ensure data input is synchronized with activity in the statutory ENC assessment, planning and review processes
  • Undertaking administrative support to all officers in the Team to which the post is assigned and occasionally to officers in other teams according to the decision of the SEND Manager(s), by:
  • Ensure data input to appropriate systems according to the instructions of the SEND Manager or SEND Casework Officer
  • Assist officers in prioritization of work by providing reports and information from the SEND data system, and by prompting tasks where timelines are at risk of being missed.
  • Provide proactive support to SEND Casework Officers, and maintain a proactive approach to all work.
  • Maintain a courteous, helpful and receptive approach to telephone enquiries, being sensitive to the anxieties and concerns of those who ring.
  • To search file records and prepare chronologies / lists of documents to assist in the preparation of responses to complaints, SEND and transport appeals, subject access requests, enquiries from MPs and Elected Members or general enquiries
  • Maintain case files to a high standard, through careful filing, record keeping and organizing of case papers
  • Maintain professional, clear and accurate contact with the wide range of partners involved in a child's case, including parents and staff from other agencies.
  • Draft straightforward correspondence
  • Maintain clear file records of discussions and agreements with schools, parents, officers and other.
  • Ensure that all written tasks are undertaken with care to accuracy, required style and legal requirements.
  • Maintain sensitive contact with parents and schools / settings at all times, including on the telephone
  • Ensure the highest levels of confidentiality are maintained at all times.

Required Knowledge, Skills, and Abilities
Your recent UK working experience going back at least 5 years, or full employment history if you have been working for fewer years than this. Your availability to work either immediately, or at short notice. Educated to NVQ Level 2 or equivalent. Has English and Math GCSE. A Levels / Level 3 qualifications - Desirable. At least Grade C in Math and English GCSE - Desirable An ICT qualification or evidence of competence and experience - Desirable. **Please provide details of all qualifications held, especially any professional qualifications relating to the role. Understanding of perspectives of parents and providers in relation to children and young people with SEND. Some knowledge of the scope of activity undertaken by Children, Families ad Communities. Knowledge of legislation and processes relating to assessment of SEND - Desirable. Ability to work flexibly in different settings, in a changing work environment and with changing deadlines, priorities and client groups. The skills and abilities to be adaptable in a context where priorities and operational processes are likely to change periodically. Well-developed team skills and a willingness to work flexibly across team boundaries when required. Able and willing to refocus work approaches according to the changing needs of the organization. Good interpersonal skills, including skills in defusing potentially difficult situations and resolving conflict Effective verbal and written communication skills, including ability to draft correspondence and produce records of meetings and decisions. Able to work as a supportive and co-operative member of a team in a pressurized environment. The ability and willingness to use initiative and independence in managing workload, whilst recognizing the need to seek advice and support when necessary. Experience of working in an administrative role within an environment that requires flexibility and working to established deadlines. Experience of using technology for data recording and extraction, and communication (Word, Excel, PowerPoint). Experience of working as part of a team. Experience of dealing with telephone calls when the caller may be anxious or concerned. Experience of working in an educational setting or service - Desirable Strong IT skills including Microsoft packages. Any local authority/public sector experience. Any relevant qualifications held or being studied for.
