The Contracts system administrator will ensure that new and legacy contracts are centralized digitally to enable contract repository with an adherence to the document management policy. Ownership will be given to the successful candidate to ensure software access is only available to authorized individuals.
Third party customer service and general technical administration support will also play a key part of the job role, whilst having the ability to escalate areas of concern to the wider team.
To assist in a contract document management system migration project.
To configure the new systems with appropriate access control rights ensuring documents are visible to authorized personnel.
To collect, input, and organize contract and related documents / information into a centralized electronic repository.
To generate reports summarizing work delivered, forecast activities, and risks and issues.
Potentially to assist in training the contract management community in use of the contract document management system.
Required Knowledge, Skills, and Abilities
Excellent communication and organizational skills. Demonstrable experience of maintaining on-line databases, operating computer systems and navigating them competently. Ability to priorities a dynamic work schedule effectively, capable of multi-tasking and working under own initiative to demanding deadlines. Highly efficient and systems aware with competence using the MS Office suite (including Outlook, PowerPoint, Excel, Word, SharePoint). Excellent Experience of using Excel - advanced skills required. Experience of using SAP would be advantageous. Familiarity with corporate systems such as SAP and travel management systems. Familiar with on-line applications and specifically of setting up and maintaining user access. Strong interpersonal stakeholder liaison skills. Exceptional attention to detail and ability to develop high quality presentational material Basic Report writing skills. Ability to create short presentations (e.g. summarizing work achievements). Ability to work to tight timescales and deal diplomatically with confidential material.
