The role of the Office Manager is to is to deliver effective, efficient and confidential support to the Director’s and Architectural Studio.
Duties will include:
· Planning and organizing meetings, events, travel and accommodation to meet defined requirements and best value.
· Take minutes from meetings run by architects or other staff where required.
· Coordinate and administer recruitment activity within the business.
· Carry out delegated activities, such as authorizing purchases, holiday requests etc., on behalf of managers.
· Facilitate, coordinate, record and check budget and day to day expenditure to ensure compliance with policies and procedures and enable effective financial reporting and control.
· Plan, coordinate, administer, monitor and report on health and safety processes and requirements to meet statutory and corporate standards and help to promote a safe working environment, including COVID risk assessments and updated working policies.
· Check and arrange for IT, office equipment and supplies in line with policies and procedures to meet defined requirements for office.
· Plan and co-ordinate office stationery, printers and other staff requirements.
· Inward/outward post (Minimal).
· Office administration duties/telephone duties.
· Project financial management & Project Resource Planning.
· Monthly Invoicing / Project Hours reports.
· Petty cash.
· Weekly and monthly reporting.
· Produce individual staff reports on efficiency.
· Open up and lock up office premises adhering to security procedure
· Follow and adhere to company H&S policy and risk assessments
· Maintenance and internal auditing of the ISO 9001 and 14001 certifications, including updating or flow charts and procedures.
