Job Description

You will need to be proactive in finding solutions and flexible in your approach to the role. While working closely with the other office staff on a daily basis in order to deliver customer satisfaction, you will also need to be able to work using your own initiative, while at the same time ensuring that you follow best company practice at all times.

The right candidate will be looking for a challenge in a small, family-run company, currently with 4 admin staff and 10 engineers, where they can feel valued as part of a friendly, focused team and looking for a long term opportunity.

You must have an excellent level of spoken and written English and be experienced in the use of IT technology. Previous use of CMS and/or diary appointment systems would be an asset but is not essential.

  • Coordinate office activities and operations to secure efficiency and compliance to company policies.
  • Organisation of maintenance and keeping the office in good working order.
  • Manage phone calls and correspondence - Taking phone/email enquiries from customers.
  • Booking customers into the CMS diary system for appointments with engineers.
  • Following up visits from engineers and ordering the required parts.
  • Giving the customers a quote for the work and then rebooking the return visits for engineers.
  • Communicating daily with engineers.
  • There will also be invoicing, debt chasing, filing and general office organisation, plus a chance to learn how to manage the Health & Safety online platform and take responsibility for this.
  • Business administration and IT.
  • Create and update records and databases with personnel, financial and other data.
  • Working part of a team - Assist colleagues whenever necessary.
  • Using your own initiative, while at the same time ensuring that you follow best company practice at all times.

You may have great professional experience already or/as well as qualifications in any of the following subjects:
Business administration/business management
Computing and information technology

  • Proven experience as an office administrator, office assistant or relevant role.
  • Outstanding communication skills both verbal and written and interpersonal abilities.

Required Knowledge, Skills, and Abilities
Excellent organisational skills - The ability to work under pressure, while remaining highly organised and efficient. Familiarity with office management procedures and basic accounting principles. Experience in CMS software. Strong attention to detail. Trustworthy and discrete. Strong team ethic - Work cooperatively with colleagues to achieve company goals. Quick learner and adaptable to change environment. Able to adapt to changing priorities and job requirements. Dog and family friendly office, so liking dogs and children is a must!
