HR Assistant
Lee Hecht Harrison are looking for an organised and resourceful part-time HR Assistant on a fixed term basis to join our Human Resources team. You will be responsible for ensuring all HR administration is consistently delivered to a high standard. Attention to detail is key!
As our HR Assistant you will be involved in the administration of all key HR areas including resourcing, employee relations, reward, benefits and change management.
This is a fantastic opportunity for someone who is looking to take their first step into a successful HR career. Experience in an HR capacity isn’t required, although it would be great if you have that. However, we are looking for someone who is organised, has great customer service, can demonstrate their attention to detail and has strong administration experience.
This is a flexible opportunity of 15 hours per week to be worked flexibly from Wednesday to Friday – exact details to be agreed with you. You will be job sharing with our current HR Assistant and will need to work well with them to ensure effective and efficient handover so that all areas are covered. The role is based in our London office but will start from home and you will be able to balance working from home and from the office as time goes on. Major Responsibilities
Key Accountabilities
Administration
Ø Preparation of all paperwork in relation to offers of employment, contracts, amendments to terms & conditions and reference requests including managing maternity, sickness etc.
Ø Completion and processing of all new starter/ movers / leaver and notifications including, org charts & HR data base.
Ø Maintenance of all employee files (both paper-based and electronic) – ensuring paperwork is relevant and correspondence filed regularly.
Ø Managing administration and queries for the team – acting as the first port of call for questions and escalating as needed.
Ø Diarising and managing the company’s introductory review periods / secondments / sabbaticals / long term leave such as sickness, maternity and expirations of fixed term contracts.
Ø Co-ordination of the monthly employee recognition scheme – ‘Super Hero of the Month’. Ø
Processing of all employees’ employment screening, liaising with our external provider and ensuring compliance with accurate records.
Ø Supporting and assisting line managers on ‘on-boarding’ all new staff into the business
Ø Responsible for management of team invoices and finance processing, including liaison with Accounts Payable.
HR Systems Management
Ø Proactively manage the HR database (HR EVO+), to include data inputting, ensuring that all data is accurate and up to date and the system is fully utilised.
Ø To provide management information/reports on a regular basis including the regular production of headcount reports/leavers & starters information/attrition and absence to be sent to UK Finance and Global HR teams in the business.
Payroll
Ø Processing and management of monthly payroll for UK & Ireland – inputting, updating and calculating changes to submit and review (on return) from the external payroll provider.
Ø To be the first line of contact to respond to payroll queries.
Learning and Development
Ø Administer and coordinate company mentor scheme – ‘Mentor Me’ which includes matching Mentees with Mentors based on application requirements and in charge of regular follow ups on feedback for the scheme
Onboarding
Ø Assisting and supporting line managers on the ‘on-boarding’ of new starters
Ø Co-ordinate and lead on the ‘HR Induction’ and the company wide ‘Corporate Induction’ with all new starters
Benefits
Ø Administration and maintenance of company benefits and invoices i.e. pensions, issuing of season ticket loans, updating private health care insurance, ordering childcare vouchers.
Ø Support on the annual benefits window – ensuring accurate data capture and liaising with internal and external stakeholders
Reward
Ø Assist with and support the HR team with the annual bonus and salary review cycle.
Ø Preparation of employee correspondence via mail merge.
Ø Data entry and record keeping utilising the HR database (HR EVO+) along with reconciliation spreadsheets.

Ø To ensure the confidentiality and integrity of all HR information in accordance with GDPR and other relevant legislation and codes of practice.
Required Experience/Characteristics
Essential
Ø Passion / interest / desire to work in HR Ø
Demonstrable previous experience of working in or providing administrative support.
Ø Ability to be able to confidently learn how to use new software packages.
Ø Demonstrable experience in a customer service-based role – able to support our staff and managers when they have queries
Ø Excellent knowledge of MS packages – specifically Excel to an intermediate level, Word and PowerPoint.
Ø Analytical and logical approach coupled with good numerical skills
Ø Excellent communication skills – both verbal and in writing – with the ability to write own correspondence to reflect our company style.
Ø Excellent interpersonal skills – able to develop effective relationships with all managers.
Ø Exceptional organisational skills coupled with the ability to multi-task and demonstrate adaptability/flexibility in order to cope with changing demands and priorities.
Ø A proactive and flexible approach to work.
Ø Ability to exercise discretion, demonstrate high levels of initiative and independent decision making.
Ø Ability to work effectively in a team and to work towards the common goals of the team.
Desirable
Ø Experience as an HR and / or payroll administrator
Ø A professional qualification in HR or payroll
