Job Description

You will ensure that our financial record-keeping is detailed, accurate and timely, supporting us in providing financial information to our board and funders, as well as our accountants, who will use the information you provide to prepare reporting for Arts Council England, Companies House and the Charity Commission. Using our existing QuickBooks setup, you will record all of our income and expenditure – approx. 80 transactions per month – along with supporting paperwork for each transaction. In some cases, this will require liaising with staff to determine the category and class of transactions. Please note that as a registered charity, City Arts is VAT-exempt, so there is no requirement for dealing with VAT as part of this role.
Main responsibilities

• Use bank statements, invoices, receipts and expenses claim forms to record and detail transactions using QuickBooks
• Upload supporting paperwork to QuickBooks in order to evidence transactions
• Raise and issue invoices when required, although this is likely to be infrequent
• Work with Deputy Director to prepare data for financial reporting
• Liaise with staff regarding transactions when necessary
• Additional bookkeeping duties as designated by management

Required Knowledge, Skills, and Abilities

Significant experience of bookkeeping. Proficiency with QuickBooks. Excellent attention to detail. Strong time management and organization skills. Ability to handle confidential information. Proficiency with Microsoft Office suite, including Outlook & OneDrive. Familiarity with Zoom, Teams or other videoconferencing platforms. Interest in participatory arts or community-facing charitable work. Experience of working in the cultural or charitable sector. Knowledge of regulatory requirements for both registered charities and limited companies registered in England.
