Job Description

As a Technical Administrator you will:

  • Enter data into May rise, maintaining a high standard of accuracy and attention to detail at all times;
  • Answer the telephone within the company guidelines and to the standard required and deal with customer calls. To log faults into the asset management system;
  • Ensure that all maintenance data is entered into the system in an accurate and timely fashion, including but not limited to, electrical tests, bulk change, cleans and visual inspections and any other relevant information as required;
  • Assist with internal meetings by booking rooms, organizing lunches and refreshments as required and dealing with visitors in a professional manner;
  • Work closely with maintenance to provide support and to ensure that penalties for faults are consistently kept to the absolute minimum;
  • Maintain payroll records and assist in the weekly payroll process for weekly paid staff including checking and entering timesheet information and ensuring that payroll records are completed on time;
  • Support the handling of insurance claims as required;
  • Enter reinstatement information into Street works as required;
  • Create third party works job packs and notices/permits as required and provide the on-going 3rd party business with administrative support as required;
  • Create maintenance job packs and notices/permits as required;
  • Ensure that the asset management system is maintained at the highest level of accuracy at all times including arranging for surveys and investigating reported problems within appropriate timescales. To provide a backup check to others work and to develop a good working relationship with others in the office to ensure that data input tasks are completed to the highest level of accuracy;
  • Ensure that all filing is done accurately and on a regular basis;
  • Assist management and supervisors with the creation and development of training materials and portfolios required from time to time by the business;
  • Comply with the company health and safety policy at all times;
  • Assist with the development of the Annual Programme as instructed by the Management Team;
  • Provide support to other areas of the business when assistance is required covering for sickness and absence;
  • Assist with entering waste management transfer slips.

Required Knowledge, Skills, and Abilities
Good administration and time management skills; Good communication skills both verbal and written; PC literate including knowledge of MS office; You should have a good technical understanding of administrative systems, procedures and processes; Excellent attention to detail & self-motivated; Ability to work in a team environment and work to tight deadlines; Able to collate and process complex data to produce reports, schedules and summaries as directed by the management team; You must be a very good team player and participator; Able to build relationships with stakeholders of all levels. Experience of working in a similar environment would be advantageous.
