Job Description

KEY DUTIES AND RESPONSIBILITIES

Health & Safety

  • Global coordination of Health & Safety including risk assessments and management, compliance with country legislation as well as ISO and CQC Standards
  • Coordination of First Aiders and Fire Marshalls, ensuring appropriately trained officers are present within their respective office at all operating hours
  • Occupational Health support and coordination of services
  • Ensuring the offices are well-presented and regularly maintained

Office Management

  • In collaboration with Building Managers manage facilities for washrooms, communal lighting, flooring, air conditioning, lift repairs, cleaning, pest control, building fire risk and evacuation, as well as any other ad hoc repair
  • In collaboration with P&C and Internal comms help foster a great environment in the office through events, messaging and the space being fit for purpose for coming together as one team
  • Ensuring the renewal of leases
  • Ensuring annual PAT testing is carried out on all company properties
  • Managing the daily post
  • Coordinate and maintain records for staff office space, parking etc.
  • Manage office supplies and budgets
  • Taking minutes and preparing Board packs
  • Arranging travel and accommodation as required by the Local Leadership Team
  • Managing meeting room diaries and system

HR Admin

  • Payroll support
  • Onboarding management including issuing of contracts and new starter documentation, online training, probation management and check-ins
  • Ad hoc administrative tasks

In addition to the above you will be expected to deliver a number of other reasonable tasks that the organisation or client requests of you to meet the needs of this evolving business.
