Job Description

We’re on a mission to help both Care Home & Home Care businesses attract private paying customers & new staff using targeted digital marketing campaigns.

Launched just over 4 years ago, we have very quickly built a reputation as the ‘go-to’ agency for growth-focused care businesses, through a raft of amazing client wins and coveted industry awards. We’re looking for a results-focused person who is well suited to working in a small team environment.  This individual will be working very closely with the Managing Director to assist with a range of projects and ensure the productivity of the company conforms to the standard operating procedures.

Company Administrator / P.A to MD Responsibilities:

  • Comprehensive and proactive diary management to ensure productive time usage of MD
  • Preparing and assisting with meetings, both externally and internally, capturing the key information and taking minutes where required
  • Booking business travel arrangements, including flights, transportation and accommodation
  • Managing call switchboard & email ticketing system (via Fresh Desk)
  • Qualifying new inbound customer enquiries and capturing key information
  • Compiling and preparing reports, sales presentations and correspondence.
  • Working across the MD’s group of companies and ventures
  • Liaising with event organisers
  • Conducting research for the MD as and when requested
  • Supporting the Finance Manager with invoicing & expense filing
  • Implementing and maintaining procedures/administrative systems
  • Coordinating meetings with clients, suppliers, key stakeholders & staff
  • Capturing and reporting company KPI’s weekly and monthly
  • Proofreading documents, presentations & outbound communications
  • Handling confidential information with discretion
  • Managing the Live Chat department, customer service and processes
  • Managing the internal CRM system (HubSpot)
  • Ensuring the company website is up to date (Wordpress)
  • Content-creating and posting across all our social media platforms
  • Assisting MD with personal requests including arranging holidays, buying gifts, arranging repairs and ad hoc requests

Company Administrator / P.A to MD Requirements:

  • We are looking for a well organised and professional P.A & Coordinator who is a real people person
  • Excellent oral and written communication skills
  • Competency using Excel, PowerPoint, Word and Google’s Gsuite - Docs, Sheets and Slides
  • Proofreading skills
  • Bachelor’s degree level education
  • Ability to work to deadlines, prioritise and manage time across multiple projects in a fast-paced working environment
  • Experience using Wordpress
  • Great organisation and project management skills with the ability to multitask and acute attention to detail
  • Exceptional telephone manner
  • Excellent presentation skills & confident on video
  • Great interpersonal skills and natural relationship maker
  • Discretion and trustworthiness: you will often be party to confidential information
  • Proactive and always looking for areas of improvement
  • Flexibility and adaptability
  • Tact and diplomacy
  • Knowledge of standard software packages and the ability to learn company-specific software if required
