Job Description

Role of an Administrator:

• To ensure all orders are uploaded for each Business unit from the correct storage location to the correct delivery point - along with informing the customer of any part shortages.
• Proactively update customers regularly on any on-going issues.
• All emails are to be processed and the appropriate action taken to resolve queries and complaints.
• All emergency orders are monitored and any additional information from the customer is provided to the operation and transport to ensure we meet all service level agreements.
• Recording all calls onto the CSS system and initiating the CSS and 5 why investigation documentation for the operation to complete, on completion of the investigation to feedback to the customer.
• Produce reports as and when requested.
• Central point of contact for customer issues for out of hours.
• Accuracy of data input and orders.
• To escalate all line stops and critical complaints from the customer to the Customer Service Manager.
• To produce the engine orders load plans to ensure meeting customer requirements
• Proactively offer problem solving solutions as required , including short notice amendments.
• Ensure safety, quality, environment and other DHL policies and procedures are adhered to.
• Provide any other support for the business as required.

Required Knowledge, Skills, and Abilities

Excellent attention to detail and organisational skills, must be capable of multitasking. Strong communication skills, good telephone manner, customer service focused. Ability to work without supervision, ability to meet deadlines, ability to work under pressure. Computer literate including good Excel skills. Ability to work effectively in a busy environment, ability to work under pressure. Integrity, confidentiality, professionalism, flexible and can do, approachable and presentable (we work on the customer site).
