Job Description
You would be responsible for providing administrative support to a busy team of property manager's as well as working closely with the fabulous head of department. Key Responsibilities:
- Providing administrative support to the Property Managers and Head of Department
- Carrying out general office duties including answering the phone, filling, scanning and sending documents
- Dealing with phone, postal and email enquiries where possible or re-directing to the appropriate party/parties
- Preparing correspondence as requested to include dictation, copy typing and meeting minutes
- Facilitating meeting organisation to include venue booking, diary management, and the preparation of meeting packs
- Inputting system data accurately and efficiently where required
- Liaising with contractors, clients and on-site staff on a regular basis to ensure the efficient and effective resolution of enquiries, queries and problems
- Maintaining records of on-site staff rotas and check in with on-site staff daily, assess need for any temporary cover and issue instructions
- Issuing quote requests and work orders to contractors, follow-up on outstanding work orders and chase supplier invoices
- Monitoring insurance claims and liaising with all parties as necessary
- Maintaining records of maintenance contracts, statutory inspections, Health & Safety documents etc. and advising the Property Managers of renewal dates
- Assisting with purchase invoice codings where possible and monitoring invoice authorisations
- Providing meter readings for all properties to relevant suppliers
- Undertaking the administrative work of tendering processes and S20 consultations
- Collating legal packs and case papers
- Carrying out any other ad hoc administrative tasks commensurate to the role as requested
Hours: Monday- Thursday 9.30am-5.30pm and Friday 9am-5pm
Required Knowledge, Skills, and Abilities
You will be a strong multi-tasker, have exceptional administration skills with a focus on attention to detail as well as being a team player and having a happy to help attitude. A big smile and a bubbly personality is a must.
Property experience is not essential but proven and current administrative experience is a must.
