Job Description
We have a position for a Senior PMO Administrator who will help assure controlled, consistent, and profitable delivery of every project.
This newly created role is right for an individual who has proven experience supporting a project management community within a professional services environment. We need someone who is confident in providing comprehensive support for project managers, adherence to standard process and general governance. Primary accountabilities
- Prepare governance reports, project status reports and RAG reports in line with weekly, monthly, and quarterly schedules
- Track and report variances in orders and forecasts, sharing with the business unit director in support of month end reporting
- Manage project management schedules across the business, engaging with other departments and functions as necessary e.g., Sales, Finance
- Take an active part in reporting and tracking existing and potential issues and risks to project via regular engagement with the project managers
- Ensure that the relationship between the PMO and key stakeholder groups (e.g., project managers/finance team) are positive and constructive by maintaining regular communication between all parties
- Coordinate tasks and activities in support of established PMO processes e.g., reporting schedules and project reviews
- Ensure project orders, budgets, and forecasts for the business unit are tracked, maintained, and reported on in line with agreed schedules
Primary tasks
- Prepare and maintain project management schedules
- Reconcile order book with actual numbers
- Participate in project reviews and maintain list of all lessons learned
- Provide support to the Project Managers and Account Managers on the production of customer quotations and Change Requests during the project
- Ensure Project Managers are using established templates and following standard practices
- Report on slippage in project deliverables to business unit and functional management
- Report on monthly aggregated project KPIs
- Ensure forecast reports are maintained and accurately completed each month
- Review the weekly Utilization report, reporting on deviations form agreed baselines
- Compile weekly project revenue reports
- Work with Project managers to assess project ‘write offs’ on a weekly basis
- Undertake project related activities, such as timesheet management, on specific, PMO aligned projects and changes

Required Knowledge, Skills, and Abilities
You will have proven competence in the Microsoft Office suite, especially Excel. You will be great at building relationships and have excellent verbal and written communication skills. You must be curious, driven and action orientated with excellent organizational skills and ability to work to tight deadlines. A project management qualification (e.g., Prince 2) is highly desirable.
