Job Description

You will support teams in busy priority delivery areas of the Programme providing various administrative duties and diary management.

Main Duties

  • Provide administrative support for the team and the wider programme as and when required.
  • Organize team, board and other meetings: prepare the agenda, arrange suitable accommodation/it links, circulate papers, take minutes and ensure action points are taken forward.
  • Manage email traffic including monitoring and auctioning the team mailbox.
  • Provide support on the upkeep of key documentation and templates.
  • Support the drafting of necessary documents or papers as directed.
  • Contribute to the development and delivery of projects, services and wider programme objectives
  • Draft relevant communications for cascade across programme and agency
  • Contribute to the development and maintenance of service area programme documentation and artefacts

Required Knowledge, Skills, and Abilities
Good administration and organizational skills, with the ability to priorities and plan workload. Good verbal and written communication skills and confidence in engaging with a range of people at all levels. Motivated and well organized with the ability to use own initiative to work with limited supervision. Good IT skills and confidence in the use of Microsoft programs including Outlook, Word and Excel. Confident user of Microsoft Project, Visio, PowerPoint and Excel. Basic Disclosure Scotland. Baseline Security Clearance.
