Job Description

Primary focus will be on maintaining our procurement system (Procure Wizard), supporting with supplier and hotel queries, and maintaining an organised approach through contract management, analysis on behalf of the business and administering data to enable business beneficial decision making.

General Tasks (not exhaustive):

  • Provision of comprehensive administrative/co-ordination support
  • Ensure the accuracy of all department processes to the various accounts and implement any identified and agreed changes to improve performance
  • Support the management of all account enquiries and disputes
  • Operate in-house software applications, Procure Wizard
  • Analyze reports and identify discrepancies clearly and take the appropriate corrective action to remedy
  • Support production, compilation and revision control of tender documents
  • Organization and production of reports, including tender tracking and spend analysis
  • Support with Financial reporting and budgeting processes

Procurement System Tasks (not exhaustive):

  • User Management
  • Supplier Management (liaising with New and existing)
  • Mini Market Management
  • Nominal/ product coding with finance support
  • Issue/Order resolution
  • Training and support of property “Super Users”
  • Procurement Reporting and management including developing and implementing improvements plans as required
  • Updating and storage of records
  • Management of supplier prices increases in conjunction with the Purchasing Manager
  • Management of PW system controls to protect the business interests

Required Knowledge, Skills, and Abilities
Ability to develop strong working relationships with internal and external customers. Computer literate, with excellent MS Excel skills. Good time management and organization skills. High-level of attention to detail and accuracy. Must have the ability to multi-task in fast-paced environment. Must be able to confidently communicate with General Manager level. Previous Procurement experience, preferably within a hotel environment. Previous experience of Procure Wizard.
