Job Description

The role holder will carry out a range of process driven client and office administration tasks within agreed turnaround times and to deliver a first-class administration service to all our corporate clients and individual shareholders.

We’re currently performing all interviews, assessments and background checks online to ensure the safety of everyone involved. It is anticipated that this role will be performed from the St Helier office where we are following local government guidelines on safe working. This includes regular cleaning, maintaining safe distances and limiting the number of people in the office at any one time.

Key Accountabilities

 

All areas are required to be actioned in a timely and accurate manner meeting specific deadlines to produce an excellent client service.

Banking, Payments and Cheques

  • Prepare general cash payments
  • Batch and release daily payments within banking system
  • Complete bank account opening/closing documentation
  • Placing stopped instructions via our bankers on lost/Stolen dividend cheques
  • Manually issuing replacement dividend cheques

Settlements

  • Administer share movement transactions to meet settlement dates
  • Input and process trade transactions within CREST
  • Resolve broker or registrar queries providing customer satisfaction
  • Liaise with internal departments or third parties to arrange settlement of trades
  • Process of removal/cross boarder/depository interest transactions
  • Allot or remove shares to increase/decrease the issued share capital of companies on the share register

 

Depositary Interest Client Administration

  • Running monthly/quarterly registers
  • Secure File Transfer ownership
  • Review Daily Issued Share Capital report
  • Preparation of mailing matrix
  • Other client admin tasks as required

General Administration

  • Process a variety of day to day administration tasks to a high standard
  • Maintain accurate records on internal systems to ensure up to date information at all times
  • Prompt responses to client/participants and shareholder queries, both written and by telephone
  • Accurate and timely inputting of client bookkeeping entries
  • Monitor team email boxes and allocate work in accordance with team capacity as advised by manager

Office Administration

  • Daily hand deliveries
  • Reception cover for holidays
  • Scanning and filing
  • Inputting of timesheets
  • Assisting with projects as advised by Manager from time to time
  • Organise and process daily post and couriers for the local business

Measures:

Quality, accuracy and attention to detail of work will be key measurements together with meeting all deadlines in accordance with the departments and clients agreed Service Level Agreements

Essential: a minimum of grade C at GCSE level or equivalent in English and Maths
