Job Description

We are a dedicated, friendly office, with a creative and motivated atmosphere, encouraging open discussion and testing of ideas. 

The role will involve an element of working from our studio in Bermondsey but some work may also be undertaken from home.

The primary role will be to assist one of the Practice Directors and the Practice Manager in managing, processing and troubleshooting accounts, transactions and analysing information from our project planning/accounting software. The role will also involve liaising with the consultant Financial Director and accountant.

  • Enter payments and receipts in Xero under the correct financial codes and reconcile with bank statements.
  • Perform routine calculations to produce analyses and reports as requested by the practice director or finance director.
  • Update information on project-related invoices sent and received, in the practice’s project management software (CMAP) on a monthly basis, to ensure information is up to date for project management and forecasting.
  • Collect and enter data for various financial spreadsheets.
  • Create, send, and follow up on invoices and manage aged debtor list.
  • Manage accounts payable and pay invoices.
  • Assist the Practice Director and Financial Director in creating financial and performance reports on a regular basis.
  • Liaise with the practice’s accountant in the production of end of year accounts
  • Review financial statements and reports, ensure all calculations and data entries are correct.
  • Reconcile any discrepancies or errors identified liaising with the Practice Manager and Director.
  • Collect information for and arrange payroll payments for employees.
  • Adhere to the company's financial policies and procedures.
  • Attend meetings and assist with financial reporting to the senior management team.
  • Suggest changes or improvements to increase accuracy and efficiency of office processes and financial management processes and reporting

Required Knowledge, Skills, and Abilities
CIMA/equivalent qualified Strong IT skills, particularly in Microsoft Excel Familiarity with bookkeeping software (Xero) Familiarity with project-management software and accounting for human capital. We use CMAP and training can be provided. Full understanding of double-entry bookkeeping, accruals and processes for cashflow reconciliation Excellent mathematical skills  Understanding of data privacy standards  An analytical mind and can-do attitude, use initiative and work without detailed instructions The ability to work accurately under pressure and comfortable with strict deadlines Excellent verbal and written communication skills and able to confidently communicate with non-finance staff Familiarity with business values and practices  Degree-educated is preferrable, but not essential A desire to be involved in development of the built environment
