Job Description

This leading consultants and accountants have an excellent reputation combined with an extremely friendly and team oriented culture. Due to continued growth they are now looking for an enthusiastic and pro-active PA / Secretary administrator to work alongside one of their busiest London teams

Duties

Answer the telephone, transfer calls and take detailed messages to pass on in a timely manner.

Carry out filing and photocopying, ensuring accuracy and that the firm’s procedures are followed.

Check, scan and distribute incoming mail accurately and in a timely manner.

Ensure outgoing mail reaches the Mail Room in a timely manner.

Ensure cheques and Accounts documents reach the Accounts team daily.

Maintain stationery supplies.

Book couriers and allocate the expenses to clients on the database.

Book meetings and send faxes as directed, following the firm’s published procedures.

Take client credit card details and process payments.

Check email notifications, distribute and action in a timely manner.

Assist Administrators with US and UK client processing, client invoices and team training materials.

Assist with ordering and maintaining the firm’s wine for in-house events.

Assist the Administrators with overflow typing, which may include typing of invoices and producing documents from a variety of sources such as hand written drafts and on-screen material in the style and layout required by their authors or as required to comply with the firm’s standards.

Stand in for Administrators when they are absent from the office.

Save documents on the network according to the firm’s procedures to ensure that other Administrators may gain access if required.


Required Knowledge, Skills, and Abilities
Assist the Administrators with overflow typing, which may include typing of invoices and producing documents from a variety of sources such as hand written drafts and on-screen material in the style and layout required by their authors or as required to comply with the firm’s standards.
