Job Description

What you’ll be doing:

  • Answer incoming calls in accordance with our standard company greeting, re-directing as appropriate and taking adequate messages when required.
  • Greet, assist and/or direct visitors, Clients and Partners, ensuring they follow the correct signing in and out process.
  • Co-ordinate diary management, schedule 1-1s and observations, manage diaries for all meeting rooms, including workshops, refreshments, etc. and ensuring relevant supplies have been ordered.
  • Distribution of internal communication to be completed where required including Facilities memos.
  • Support the Management team to the highest standard and being the ‘face of’ the Kingsway office.
  • Interacting with Clients, Partners, Management and other teams within the company delivering an outstanding level of support and customer service.
  • Develop a strategic awareness of the business issues and challenges within the Cohort by working closely with the Cohort PDMs.
  • Build and strengthen working relationships with all location and Area management and support teams to become a key enabler of efficient processes and procedures across the cohort/LSE Area.
  • Proactively contribute at Cohort meetings, take minutes and ensure actions are followed up.
  • Attendance at Cohort Coordinator team meeting – providing updates on workloads, sharing best practice, building strong relationships, and supporting location/Cohort projects.
  • Make travel and accommodation arrangements, ensuring efficient use of time and minimal expenditure.
  • Provide holiday cover for other team members where necessary.
  • Ensure all facilities issues are raised and monitored as reported.

You will be required to work 8.30am-4.30pm Monday to Friday one week and 10am-6pm Mon-Thurs, 9.30am-5.30pm Friday the following week.


Required Knowledge, Skills, and Abilities
Who we’re looking for: Ability to build strong relationships internally and externally by employing a broad range of communication techniques. Strong administration skills, with good knowledge of Microsoft packages. Experience of management of multiple diaries and workshop/webinar planning. Ability to work independently and use own initiative as well as being able to work as part of the team, supporting team members where required. Willingness to make own decisions on prioritizing workload and taking responsibility for own tasks. Responsibility for maintaining the image of the SJP brand.
