Job Description

Responsibilities

  • Provide the day-to-day administrative needs of the Mainline Operators Group, and to the Head of Projects team and Head of Non-Mainline Railways Team, including organizing travel, arranging internal & external meetings with supporting equipment & catering as required, monitoring Outlook inboxes & managing calendars;
  • Print/photocopy, collate and circulate meeting papers and take minutes at internal and external meetings;
  • Undertake basic research, interpret and present your findings;
  • Set up Excel spreadsheets, maintain information databases, electronic and paper case records, filing systems and archives in accordance with ORR security and disposal policies;
  • Organize travel and accommodation in accordance with ORR guidelines ensuring value for money;
  • Processing financial documentation, including raising purchase orders, reconciliation of travel and catering invoices, inputting financial data onto the relevant spreadsheets;
  • Manage the Enforcement Tracking Spreadsheet, ensuring updates are provided in a timely manner for relevant meetings; and
  • Work closely with, and provide cover for your manager, other managers, and members of staff during absence and busy periods.

Required Knowledge, Skills, and Abilities
Minimum of five GCSEs (or equivalent) grade 9-4, including L2 in English and Math. You must not hold a qualification in the same discipline or field either at the same or higher level. You must not already hold significant experience, knowledge or skills in this discipline. Technical - the demonstration of specific professional skills, knowledge or qualifications. IT literate, with a good understanding of MS Word, MS Excel, MS PowerPoint and Outlook. Experience of working flexibly in a team, and working with others effectively to achieve a common goal.Minimum of five GCSEs (or equivalent) grade 9-4, including L2 in English and Math.We'll assess you against these technical skills during the selection process: IT literate, with a good understanding of MS Word, MS Excel, MS PowerPoint and Outlook.
