Job Description
  • Welcoming and registering any visitors to the School, ensuring the signing in/out procedures are followed and in accordance with the School’s safeguarding policy.
  • Answer telephones and email queries and deal with pupil, parent and visitor queries and requests in a friendly and helpful manner, taking messages correctly and passing them on to the appropriate people.
  • To be a named first aider and respond appropriately to sick or injured pupils.
  • To assist in collating and interpreting any pupil data required for DfE returns.
  • To ensure familiarity with the latest upgrades to the SIMS network.
  • Managing receipt and distribution of internal mail (via registers and staffroom) and external post as well as outgoing post.
  • Support the School Office team with general administrative tasks such as pupil filing, photocopying or typing, and other departments as required.
  • Maintain and update pupil and parent records.
  • Entering pupil data onto SIMS.net including Pupil Referrals and update information as required (manual and computerized) accurately and promptly.
  • Ensure good organization and general tidiness of the outer office and photocopying room.
  • Any other duties that may be reasonably requested by the Bursar or Headmaster as appropriate to the position of School Secretary.

Required Knowledge, Skills, and Abilities
The successful candidate should: Educated to GCSE Level (or equivalent) with 5 GCSEs A*-C including English and Maths. Ability to present a calm, courteous and professional image at all times, whether on the telephone or in person. Good literacy and numeracy skills. Relevant experience would be desirable. A working knowledge of Microsoft Office Software, e.g. Excel and Word. Good planning and organizational skills and a flexible approach to managing own work load. Ability to work on own initiative and as part of a team. High level of confidentiality and trust. Good communication skills in a variety of contexts (verbal, email, written) and with people at all levels. Ability to work under pressure and meet deadlines.
