Job Description
  • Oversee the daily input of picture payments.
  • Ensure all payments are uploaded correctly each week working closely with the finance team
  • Be the main point of contact for agencies and freelance photographers.
  • Answering payment queries and act as the first point of escalation within the team for queries and/or to resolve issues.
  • Supporting and overseeing the setting up of new accounts and maintaining existing account details within the purchase ledger.
  • Assisting in the management and oversight of team workload, including ensuring quality standards are upheld, SLAs are met, and tasks are prioritized appropriately, and coordinating
    payment logs and invoices with the wider team.
  • Assisting the Office Manager in ensuring that knowledge of team members is up-to-date and appropriate for the tasks being undertaken, plus identifying training needs and addressing these
    as appropriate.
  • Use critical thinking to provide efficient solutions to problems impacting the wider team, which take into account scalability, efficiency, service and risk.
  • Contribute to the improvement of processes by providing ideas and feedback that strike a balance between efficiency and risk.
  • Keep diary of news events and anniversaries of events to cover up to date
  • Compile a picture list for conference
  • Design and inform staff and freelance photographers of their rotas. Refer to the diary where necessary. Keep changes up to date as per desk requests and confirm desk/photographers of
    any changes.
  • Arrange for photographer accreditations as and when necessary.
  • Process freelance photographer expenses.
  • Chase editors for sign off of all payments to meet finance deadlines.
  • Record and monitor all staff leave.
  • Answer and process any admin queries from editors, photographers, agencies and staff.
  • Take on ad-hoc responsibilities as and when required to ensure the success of the team.

Required Knowledge, Skills, and Abilities

Takes initiative in order to achieve desired results. Self-starter, organized and a good problem-solver, able to eliminate obstacles through creative and adaptive approaches. Must have experience using excel. Receptive to new ideas and concepts, and the ability to adapt to new processes. Demonstrates dependability in all aspects of own work and takes responsibility for own words and actions and can be relied upon consistently. Works effectively with and supports colleagues, fostering a positive and collaborative environment.
