The administrator will support the Studio Manager with the daily flow of the studio and will gain great development and experience working for two profitable, award winning design companies.
Key responsibilities
Answering phone and responding to emails
Organizing and booking travel arrangements (cabs, flights, accommodation etc.)
Distributing incoming mail / parcels as well as arranging outbound post, packages, and couriers
Raising invoices, creating quotes, managing company expenses working in Xero, Rapport and Receipt Bank
Manage the meeting rooms diary (client meetings, team reviews etc.)
Supporting with event organization
General admin support
Supporting with Quality Assurance ISO 14001 environmental and 9001 quality accreditations
Document Control
Managing, monitoring, and recording holiday requests, timesheets, and sickness and absence
Taking and typing up minutes in company or client meetings as required
Monitoring and ordering stationery, office, and kitchen supplies
Keeping a high level of tidiness and appearance in all areas of the office
Posting on social media accounts.
Required Knowledge, Skills, and Abilities
Good organizing skills. Good knowledge of MS Office and calendar management. Experience in customer service and office administration. Knowledge of online accounting / bookkeeping software would be an advantage. Experience of business accounting and finance, raising and chasing invoices. Excellent written skills (spelling and grammar). Degree desirable. A-levels In English, Business, Marketing desirable. Design studio experience is preferential or some experience in creative sector would be an advantage.
