Job Description

The Team Assistant role is a varied position requiring initiative, diplomacy, adaptability, discretion and energy.

Key Duties & Responsibilities

  • General administrative support to the Director of Data and some of the management team
  • Extensive diary management including coordinating and setting up meetings and international conference calls.
  • Maintain all key information and data readily available for the team as required
  • Support with onboarding new starters within the team
  • Support with travel arrangements and travel itineraries for the director and their direct reports, as well as other colleagues within the wider teams including booking of hotels, transport, visa applications etc.
  • Manage logistics for meetings (booking meeting rooms, providing remote conference details, etc.) and take minutes as requested
  • Expense management
  • Build relationships within Condé Nast headquarters and offices globally
  • Development of agendas, taking minutes and driving action items to completion.
  • Multiple project coordination
  • Organize team lunches and team bonding activities
  • Support the team in organizing in person/remote events such as awards/knowledge sharing
  • Ad hoc tasks as required i.e. support the team with any project when an extra pair of hands is needed

Required Knowledge, Skills, and Abilities
Good communication skills and a proactive approach are essential. You will be positive and able to interact comfortably with executives and visitors of all levels. The ideal candidate must have a “can-do” approach to supporting the data team, be a strong team player and have the ability to priorities workload in a busy environment. The ideal candidate will have good administration experience, an eye for detail and be willing to take ownership of the role and create processes for the department where needed. Previous experience in an administrative role supporting a team or an individual. A friendly, personable, productive and patient manner. Extremely discreet. Self-driven and motivated, with an ability to show initiative in all situations, quickly adapt to changing circumstances and take responsibility for actions. Excellent organization and communication skills. Confident at liaising with people at all levels. Knowledge of G Suite, Zoom, Slack would be beneficial.
