Job Description

Accountabilities and Activities

To provide and maintain an efficient booking system and process for all NHS inpatients and day cases using a computerised patient administration system.

To develop and maintain an up to date and accurate knowledge of the Spire and NHS contractual guidelines and initiatives.

To ensure the correct procedure codes are inputted to ensure that the hospital and consultants charges are correct in accordance to clinical coding guidelines.

Ensure you have a good understanding of the POLCE policies that are in place.

Must have a thorough and detailed understanding of the Service Restriction Policies and what the requirements are for each procedure needing authorisation from the CCG.

On a daily basis action TCI outcomes, record on the necessary tracker and request IFR's when required.

Ensure that all procedures requiring pre authorisation from the relevant CCG is obtained in a timely manner and recorded accordingly.

Ensure notes are triaged with the POA team and booked necessary appointments.

Ensure the Spire Consultant App (SCA) is checked on a daily basis for online booking forms.

Manage the NHS shared mailbox on a daily basis ensuring that booking forms are actioned.

Ensure that a patient's admission is within their breach date.

Proactively manage theatre lists and the allocation of TCI dates for the consultants that the NHS Office dates.

Liaise with the consultant's medical secretary, theatre office and anaesthetist where applicable to ensure they are made aware of all bookings.

To respond to enquiries in a courteous, timely and efficient manner.

Daily use of SAP (the hospital computer system).

Liaison with consultants and secretaries, providing and obtaining information where requested.

Liaison with other departments.

To maintain departmental filing systems accurately and accordingly.

To practice and maintain a high standard of confidentiality at all times and exercise absolute discretion in the use of all patient, consultant and staff information.

To undertake other duties and tasks within the NHS Office as delegated by the departmental manager.

To work within guidance on moving and handling, as identified in corporate and local policy and discussed at mandatory training sessions. Working in a safe manner using only recognised techniques and equipment identified by the hospitals moving and handling co-ordinator.
