Job Description

This position will report directly to the Head of Department as well as having exposure to Senior Management. This is a truly exciting opportunity for a candidate who thrive in a dynamic and fast-paced environment.

What you'll do

  • Telephone call screening and handling
  • Liaising with external parties
  • Reading and processing purchase orders
  • Supporting Regional Directors and, occasionally, Board Directors
  • Cost centre management and investment analysis
  • Email and calendar management
  • Monitoring and cascade of domestic and international communications
  • Meeting scheduling and preparation (agendas / invitations / minutes) incl. refreshments when applicable
  • Deadline management
  • Travel management
  • Holiday Request processing / monitoring
  • Processing of post (incoming / outgoing)
  • Digital Document management (incl. scanning / renaming / filing)
  • Raising and monitoring inter-departmental requests e.g. IT equipment / software, Company Car matters
  • Stationery / consumables ordering and invoice processing
  • Organisation of team events, presentation and meetings
  • Ad hoc tasks required to support the team

What you'll need

  • Similar experience within an administrative role
  • Interest or previous experience in Property
  • Familiarity with legal documentation regarding property matters
  • Excellent communication and organisational skills
  • Ability to manage stakeholders’ expectations and confident pushing back
  • Friendly and approachable
  • Proactive and with the ability to prioritise tasks
  • Proficient in MS-Office (Word, Excel, PowerPoint)
  • German skills are beneficial but not essential
