Job Description
  • Provide administrative support for the onboarding process of new starters.
  • Set up meetings, conference calls or video calls.
  • Responsible for informing all internal / external meeting attendees of meeting details and agendas.
  • Arrange all relevant requirements for meetings: meeting rooms, IT facilities, video facilities, refreshment etc.
  • Up to date knowledge of the team's day-to-day status and whereabouts.
  • Coordination of all travel and logistics e.g. flights and accommodation etc. for two Directors.
  • Responsible for preparation and submission of expenses for two Directors.
  • Leadership team meeting agendas and minutes
  • Partner review meeting briefings
  • Internal executive briefing packs for steering committees, board meetings etc.
  • Communication packs e.g. collation of assets and materials for presentations
  • Support with the logistics of equipment for new joiners
  • PO Raising for associated responsibilities in the support role

Required Knowledge, Skills, and Abilities
Discretion with dealing with confidential information EA/PA experience at Director level, ideally within a Head Office environment EA experience. Must have excellent IT skills: Excellent MS Word, Lotus Notes, PowerPoint, Excel. Must have excellent communication skills. Comfortable to communicate and build relationships at all different levels. Enthusiastic and can-do approach to work.Efficient, organized and dependable.Ability to priorities. Able to work under pressure, multitask and work autonomously. Proactive and positive.Flexible attitude towards different working methods.
