Job Description

This position requires initiative, attention to detail, and the capability to learn quickly. You will manage internal and external relationships and work with senior executives. You will bring energy and dedication to the role which covers a wide range of executive support duties and will actively contribute to a successful, goal-oriented team.
Main Accountabilities:

  • Proactive inbox management & sophisticated diary management working across multiple time zones.
  • Keep track of client meetings and ensure follow-ups are booked and flagged.
  • Coordination and facilitation of events, including Town Halls for large numbers. Attend meetings when needed to record any actions and provide timely follow up, advancing to other people within the organization as appropriate. You will organize and handle the logistical arrangements for meetings as requested.
  • Provide and coordinate all aspects of domestic and global travel itineraries, including meeting schedules/ documentation - flights, accommodation, ground transportation, VISAS, etc. including assistance with the local arrangements for members of the team.
  • Leading daily workflows and business correspondence independently and professionally including preparation of internal/external correspondence and communications.
  • Handle expense claims and purchase order process through to payment and internal cross-charging.
  • Special Projects – Work on various special projects for the agency team that may include the creation of Microsoft Office documents, PowerPoint's and Excel spreadsheets.
  • Provide general administrative support to the wider team on an ADHOC basis.

Required Knowledge, Skills, and Abilities
The desired experience and capabilities that we are looking for are… 5+ years’ experience in an Executive Assistant or Senior Administrative Assistant role within a fast-paced environment. Possess strong analytical, troubleshooting, planning, organizing and customer service skills. You are results and detailed driven (no matter how small the task) as well as a pleasant and compassionate teammate. Excellent communication and social skills at all levels with an organization are vital to the success of this role to handle critical and confidential situations/material. Ability to prioritize multiple tasks and demands concurrently in an ambiguous environment. Skilled at prioritization of work demands to efficiently manage partner expectations and requirements. Enjoy working within a team including collaboration with other PA, EA & Departmental Assistants in a multi-cultural and multi-national team. Upbeat, proactive, and motivated with the interest and ability to learn about our business. Well organized and self-motivated. Ability to interpret and apply policies and guidelines effectively and accurately. MS Office Suite expertise.
