Job Description

You will have an excellent command of the English language and be confident producing letters and reports. This role will provide you with the essential skills to be a successful administrator and office manager.

You will be involved in all aspects of the office management. Your duties in include;

  • Updating data from monthly and weekly reports to spread sheet for monitoring purpose
  • Maintain records of weekly, monthly etc. reports and liase internally for the information
  • Check emails and take necessary actions, forward important emails manager, etc.
  • Training booking for staff/helping with HR related duties
  • Keep records of placement referrals from Local Authority
  • Inputting data/Record keeping of all types of data
  • Keeping records of bills payments, damages repairs and cleaning etc. for all properties
  • Typing letters to landlord, council tax, letting agent and clients.
  • Receiving and making phone calls
  • Taking minutes at meetings
  • Taking Messages and passing on to relevant parties.
  • Developing new systems for the office.
  • Ordering equipment for the office and clients etc.
  • Filing, scanning and faxing.
  • Help staff for our portal, email management, IT related issues
  • Agency timesheet and bill management, rota records
  • Utility/broad band etc. management for all our properties
  • Property Management
  • Helping with staff files
  • Ability to liaise with different agencies.
  • Help to establish smooth running of the office.
  • Any other duties requested by the manager/supervisor.

The course covers a wide range of topic areas such as communication, finance, business processes, understanding the business environment etc. The topic areas are designed to help build the knowledge, skills and behaviors to achieve the end point assessment which is taken at the end of the apprenticeship through an independent assessment organization.


Required Knowledge, Skills, and Abilities
5 GCSEs to include math and English A*/C-9-4 or equivalent.. Be flexible and adaptable. Ability to work with minimal supervision. Must be dependable, able to follow instructions, respond to management direction, and must be able to improve performance through management feedback. Must be adept at problem-solving, including being able to identify issues and resolve problems in a timely manner. Must possess strong interpersonal skills. Must be able to communicate clearly, both written and orally, as to communicate with employees, contractors, management, finance departments. Must be able to effectively read and interpret information, present numerical data in a resourceful manner, and skilfully gather and analyze information. Must be able to prioritize and plan work activities as to use time efficiently. Must be organized, accurate, thorough, and able to monitor work for quality. Experience of filing and organizing record skills. Creating and implementing new systems. Solid understanding of MS Office. Excellent Telephone manners. Open to continuous development.
