Job Description

The post holder is a member of the School’s professional services team, providing high quality general administrative support to the School and specific support to the Diabetes research group.

  • To provide smooth and efficient day-to-day operational support to staff and students in the diabetes research group working closely with the School’s core team to provide local support for research grant applications, post-award support, local staff and student recruitment campaigns, processing of claims and invoices
  • To act as the primary point of contact for support services, arranging maintenance of shared and allocated equipment and other resources including printers
  • To maintain shared resources, including stationery and other supplies
  • To use and support the university’s electronic record systems, ensuring data are accurate and consistent across all data sources, responding to information requests from staff and central functions, being mindful of data protection
  • To prepare communications, draft presentations, briefing documents and background materials as required
  • To take responsibility for planning and organizing events/ functions and projects, including planning and organizing visits by external/international delegates
  • To undertake research and data analysis when required to inform decisions and work priorities
  • To prepare and support meetings, boards, and committees, including the coordination and distribution of papers, organizing events and taking notes or minutes, as required

This post will be offered on a fixed-term contract for 10 months and will cover a 6-9 months maternity leave.

1. The main responsibility will be assisting and providing support in the delivery a multi-centre multinational observational study looking at the impact of asymptomatic low sensor glucose on biomedical, patient-reported and health economic outcomes.

2. The post holder will work with the project manager, a clinical research fellow, a clinical research nurse, and a data analyst working on this particular project. The post-holder will support the research team on the overall conduct of the study

3. The post holder will provide administrative assistance to the research team, including maintaining study files, purchasing study materials, and communicating with patients, internal KCL administrative departments, and other study research teams.

4. The post-holder will help to support recruitment, screen patient lists to identify suitable participants, prepare for patient study visits, send study materials and study information to participants, and assist in the storage and maintenance of research materials and data.

5. The post-holder will be responsible for maintaining Good Clinical Practice, and keeping accurate and timely records of studies.

6. The post-holder will work with other members of the research team in the performance of clinical research studies other than those for which he/she has direct personal responsibility

7. The post holder will support the project manager in providing assistance and support to the other clinical sites.

8. The post holder will serve as a liaison between the participants and study team, helping to set up study visits, coordinating appointments, managing travel receipts and reimbursements.

The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.

Proven Professional Services skills gained within the Higher Education sector and a detailed knowledge the regulatory, policy and procedural context along with the challenges and opportunities faced by the sector. Knowledge of research practice and policy in health (bioscience/medicine). Experience of financial planning and implementation, including preparing budget, invoicing and accounting. Committee servicing. Experience of using complex databases and management information systems. Basic awareness of research techniques, principles, and governance. Knowledge of standards and audit. Knowledge or previous experience related to diabetes and its treatment. Ability to provide flexibility in working hours.
